SharePoint Admin center allows you to adjust SharePoint online external sharing settings according to your business requirements. You can control settings at Organization level and at Site Level. To enable Organization level settings, you must turn on SharePoint online external sharing from the SharePoint admin center. Site Level settings provide the privilege to restrict the content to share on a site-by-site basis. Site Owners can’t change external sharing settings for a site, only global admins or SharePoint Admins can do that.

SharePoint site Basic Options

Regarding SharePoint Online basic options to share are the following:

• No external sharing
• Existing guests
• New and existing guests
• Anonymous sharing

No external sharing: with this option, site users are not able to share any site content externally. For communication and classic site, this is the default option.

In the admin center Select Active Sites under Sites option > Select Proper sites > Click Sharing > Select only people in your organization > Click Save.

Existing guests (Authenticated): with this option, you can share content with users present already in Azure Active Directory. Users can either be added manually or already exist due to accepting a previous invitation.

In the admin center Select Active Sites under Sites option > Proper Sites > Sharing > Existing Guests > Save.

New and existing guests (Authenticated):

The existing site content can be shared with anyone externally if they are added to Azure AD. Once sharing is enabled, Site Owners are able to share files and folders with external users. An email with a link to invitation is sent to the external collaborator.

In the admin center Select Active Sites under Sites option > Proper Sites >Sharing > New and existing guests > Save.

Anonymous sharing: with this option you can share your documents, folders and files externally with anyone who has the link through an anonymous link that can also be shared freely online. With this option, you need to be very careful that there is no information of sensitive nature that must not be shared to people outside the organization.

In the admin center Select Active Sites under Sites option > Proper Sites > Sharing > Select Anyone > Save.
