Microsoft Exchange Online Security is a deep concern of today. Theirs is not a single internet-enable device that can be compromised on security. Same goes with Microsoft Products. Today, it’s about Exchange Online Protection and what Microsoft is planning to enhance Exchange Online Security.

Users have been using Basic Authentication while making connections with services, servers and endpoints for a long time. In this type of authentication method, the application simply sends user name and password with each request. This has been a simple solution, which was good in old days but due to the rise in cyber-attacks methods, something more secure was needed to improve the user experience of Exchange Online.

The Recent changes

For Exchange Web Services, this Basic authentication method is going off from October 2020 for better Exchange Online security. To phase out old authentication methods, Microsoft is turning off Basic Authentication for Exchange ActiveSync (EAS), POP, IMAP and Remote PowerShell on the same date as well. However, SMTP Auth will continue to support Basic Authentication.

Modern Authentication

Modern Authentication is now based on OAuth 2.0 token based Auth that is not only reliable but also mitigates problems of current authentication methods. It incorporates Multi factor authentication for a better secure experience. In Modern Authentication method, OAuth Access tokens have a limited lifetime. These tokens are limited to applications and resources and can’t be reused. This increases Exchange Online Protection for its users.

Impact on users

With every change related to security, the end-users become more secure, however, organizations offering Exchange Online have to look for a few things and work upon them in time. Remote PowerShell should be switched with PowerShell within Azure Cloud Shell until more secure MFA module is provided for RPS. For tenant admins, a tool would be available soon that determines who is using Basic Auth in the tenant. This makes it easier to discover how large the task to shift the user to Modern Auth methods is. POP and IMAP are also going to be modified and OAuth will be added to these protocols soon.

For Exchange Active sync, a better secured approach towards Exchange Online Security is to opt for Outlook Mobile. It undoubtedly integrates Microsoft Enterprise Mobility + Security (EMS) and MAM protection for a secured corporate data and user data. Outlook mobile supports Modern Auth by default.

From a Cloud expert’s point of view Shifting to Exchange Online requires major planning before execution. For exchange users, there are many Providers out there which plan migrations for you and provide after migration support too. Either it is “lift-and-shift” or deep cloud integration, it is always essential to know the exact details of shifting to Exchange Online and how it can affect your organization. Today, we are going to tell you three essential features that you must utilize for your company once you have opted for Exchange 2019 online migration.

Office 365 plans for Exchange Online

If you plan to migrate to Exchange Online anytime soon, you must take into account one of the office 365 subscription plan from a list of plans provided by Microsoft. Every Exchange Online user is assigned to some subscription plan. Plans like Office 365 Business Essentials, Office 365 Business, Office 365 Business Premium, Office 365 Enterprise E1, Office 365 Enterprise E3, Office 365 Enterprise F1 and Office 365 Enterprise E5 are offered with multiple options according to your cloud business needs. Once you subscribe to a plan, you get access to your own mailbox. All the messages and folders in your mailbox are now hosted at Exchange Server running at Microsoft datacenter.

Exchange Web Services (EWS)

This is another feature to look forward to while shifting to Exchange Online. Exchange Web Services (EWS) is a reliable API for working with mailbox content. This API has many benefits over other APIs. Like it has its own personation model which favors the developers while utilizing this API. EWS is also language independent. It’s got almost all features necessary for client applications, therefore it is quite robust.

Microsoft Exchange Public Folders

Information sharing is essential in every system. When shifting to Exchange Online, you will experience more control over information sharing. The Public Folders feature is designed to achieve information sharing in a streamlined manner. It makes Outlook users access common folders and share information from these folders. Access on Public folders can be controlled by Admins as they can assign permissions. With Microsoft Exchange Public Folders, you can:

Make use of Mail-enabled Public Folders

Have separate folders for each project to stay more organized

Create custom templates for automatic replies

Make calendars and track your team’s progress

Add permissions to each folder and many more
