Modern SharePoint Online benefits are many, but the most important benefit is: SharePoint lets you do adopt a faster, simpler, and more sophisticated approach towards doing cloud-based business in modern times.

In the past couple of years, having a centralized server and managing documents and collaboration was considered a more tech-savvy approach. However, with the rapid adoption of the cloud, more cloud-based collaboration platforms have emerged. These are adopted by companies at their own pace.

SharePoint Online is the tool of the future

If there’s one capability that SharePoint has: It can transform the way you do business. It provides the resources needed to create websites with pages on the company’s intranet so that critical cloud-based business information is organized, stored, and easily shareable and accessible.

What are the Microsoft SharePoint online benefits for business?

Let’s have a look at SharePoint online benefits for cloud-based business:

Improve data management

With SharePoint, you get a golden ticket to modern data management approaches. Today, employees have to deal with data, all the time. May it be checking and responding to emails, or dealing with customer support requests, generating marketing reports or meeting minutes. SharePoint provides the gateway towards a more organized data management approach. Plus, sharing the data with others on a team, or across the team isn’t much of a problem with SharePoint.

Simplify business functions

The typical business functions include activities like collecting feedback, tracking issues, routing documents for approval, and many more. SharePoint provides out-of-the-box approaches and workflow designs that automate these processes. They can be integrated into web browsers for consistent user experience.

Regulate Compliance and Security

Compliance regulations and security is a thing of today. While companies grow, there are more compliance requirements and security methods that need to be kept under check. Consequently, you can’t just trust any new software in the market. But no, SharePoint Online is secure and it has been around for a long time, thus, fully trustworthy for business use.

Optimize Content Delivery

While companies look for new ways to optimize content, that continues to grow at a high pace, they also look for solutions that perform document tracking, keep revision histories, and provide a robust content control. All of it comes with SharePoint. SharePoint online benefits include Content approval, editing, maintaining and publishing is a smooth process now.

Increase Productive

Apart from a Centralized Administration, there are many more content management methods that make you increase productivity and provide benefits for business. Manager can keep their SharePoint Site organized so that they can have a quick look at the content before making a decision. When content is organized, you get more time stuff other than just hunting down your systems for data.

People who use SharePoint for business find it hard in the beginning to decide between working on a SharePoint Blog or a SharePoint Publishing site. While the two sound typically similar since they are both designed for the same purpose (blog creation and maintenance), they are not truly similar when it comes to features comparison. A more in-depth analysis of the two types offered in SharePoint is presented with feature comparison, so you’d be clear the next time you start a SharePoint blog.

So, a SharePoint blog is like an out-of-the-box ready thing that you can just tailor it according to your niche requirements (pretty much like pre-cooked pasta that you can quickly toss into your favorite sauce, if that makes sense). On the other hand, a SharePoint Publishing Site is a more structured authoring and publishing site that is typically used to create a sharing and communication portal amongst enterprises.

Here’s a quick take on features of a blog and those of a Publishing site.

SharePoint Blog Site

As mentioned earlier, a blog can get you started with minimum amount of effort. You can just add your content, for which the SharePoint blog was initiated in the first place. Blogs can be easily integrated with Microsoft Word which makes them easy to publish Live directly from Microsoft Word. You won’t even have to specifically include pictures and videos if there are any, the integrated system does that for you automatically. In addition to this, blogs have a commenting system built into them, so a blog is well-suited in the time when you plan to add comments and activity or discussions over your content. This becomes a drawback if you don’t wish to add a commenting system to your blog. Furthermore, there’s an option to add categories to your blog, so you can upload content for more than one type and that gets easier to navigate your blog. SharePoint also offers Views by categories feature.

SharePoint Publishing Site

A Publishing site is particularly useful if you need to generate content form a content hub. So, you can specify content types and have the control to manage the blog page fields. Using a Publishing Site, you can also create your own Page Layouts, design the page yourself and make changes of layout and fields whenever you wish. With this method, you can build everything yourself according to the company needs. So, with a Publishing Site, you are n more control of what is displayed and how is it displayed on-screen.

ALSO READ: SharePoint CMS new features for better collaborative environment

Final thoughts…

After the overview of both options, it can be concluded that if you want a more personalized approach, Sites must be your choice. Nevertheless, Blogs prove beneficial when you want to start quickly without much design-oriented hassle.

Business Teamwork isn’t just a couple of people working on the same project. Real teamwork revolves around collaboration of people working together on the same project. Microsoft, with its wide variety of productivity software has brought in together a couple of features of multiple online software like Microsoft Teams and SharePoint so that content collaboration becomes easier and teamwork gets a new name. This way, people and businesses are empowered so that they can focus on the business value rather than staying in complexities.

Experts from Microsoft present three basic tips as a guide to collaborate within teams in Teams and SharePoint:

Flow SharePoint news and headlines into Teams

Going through your SharePoint news feed and headlines in Teams looks all so familiar. Once you are able to do that, every article that you publish automatically appears in your Teams. You can see the page title, a brief description, its thumbnail, mentioned author and publish date of the content. This way, you increase the reach of your cloud business to enhance business teamwork.

Develop a business app where there is a separate tab of SharePoint team site home page in Microsoft Teams:

Organizations can add organization news site as a tab in. this way, your marketing group can even manage and share the news portal. This is where your organizational news can circulate and even the consumers can benefit from it. Here you can highlight company-wide events, product launches, external news, new HR guidelines and much more.

Create lists in SharePoint and recheck it in Teams

Microsoft SharePoint lists are the core of tracking things in workflows. Lists provide a deep rooted view of everyone who views and interact with the content. Lists keep information up-to-date. A SharePoint list can be added as a Tab in Teams to keep the teamwork alive. Once you add your essential lists there, you can stay in control of the lists while staying in Teams along with navigating views and filter columns on list items necessary to your cloud business.

The combo of SharePoint and Teams together provides a cool business teamwork experience across the whole of the organization.

With the announcement of latest SharePoint 2019 environment last year, much buzz has been created on how perform on- premises migration from legacy versions to SharePoint 2019. There have been a lot of questions coming up regarding up gradations and SharePoint 2019 migrations like is it possible to upgrade directly from SP 2013 to SharePoint 2019 environment or SharePoint 2010 to SharePoint 2019 environment directly. Microsoft actively supports documentation for the purpose. In this blog post, we’re going to show you the essentials of SharePoint 2019 on-premises Migration from legacy version.

Select a Path

SharePoint 2019 migration is not that simple from a legacy version. At first, you would have to upgrade to a higher version eventually to 2019 like 2010 to 2013 to 2016 to 2019. However, things get simpler by using a third-party tool like MachPanel Automation tool for SharePoint migration. With MachPanel, the migrations become seamless and hassle free. This is the best migration path form SP 2010/2013/2016 to SharePoint 2019. The experts are at your side to perform the migration steps and provide post-migration support in case you need any guidance after the migration has occurred. For a successful SharePoint 2019 migration you must consider the following:

Plan: it is important to review the source platform (SharePoint 2013/2016) and destination platform (SharePoint 2019). The relevant configurations must be available in the destination platform.

Analysis of unnecessary items: before beginning the SharePoint 2019 migrations, it is a good practice to track down all the unnecessary contents that ate not needed in future. Frequent cleanup is a good practice, anyway

Run Pre-migration tests: it is best of you could run a mock migration, get the results of pre-migration test reviewed and repeat if not satisfied with results.

Create different batches of content for migration: it is beneficial if you classify major Site Collections into batches. Apart from this, you could also classify Sites and Lists, Metadata, Permissions, Content Types etc. for improved migration experience. This certainly avoids many failure points.

Steps

With that said, let’s move on to the major steps and best practices of migrating to SharePoint 2019 on-premise. If you are moving form SharePoint 2013 to SharePoint 2019 environment, you need to know the following steps that highlight the steps involved in a general SharePoint 2019 migration.

1. Upgrade to a temporary SharePoint 2016 farm

2. Upgrade to destination SharePoint 2019 environment
