This post is about using the Excel Web Access Web Part to dynamically show a workbook.

The Problem

Many times, customers reach out to know more about Excel workbooks. Presently, SharePoint online offers a script editor or content editor to make users display Excel workbooks in an iframe. It is quite possible to write a jquery code within the script web part and dynamically set the excel workbook to iframe’s src. This comes with an issue that continuously displays the O365 Global Suite Navigation bar of the Excel web app. There was no way to hide that with the help of CSS or jquery while loading Excel web parts dynamically until the following solution came up.

The Solution

The solutions use Excel Web Access Web part and list view web part. These two web parts are connected So the list view web part sends the URL to view into the Excel Web Access Web part with a filter via the JSLink. The steps to follow are as follows:

Create a Document Library and a View named MyExcelFileView. Add various fields including “Created By”

Create a web part page (You can also use any existing Wiki page), edit it, and add 2 web parts.

Upload javascript files to the SiteAssets library.

Edit List view web part. Under Miscellaneous option, set JSLink;

Set desired Appearance layouts and select what to display. The field “Created by” must be a part of the view

All the workbooks of the logged-in user will be filtered.

While the page is in Edit mode, you need to add Excel Web Access web part from Business Data

Goto Connections> Get Workbook Url from -> A popup will load. Select Field Name “Document URL” and save the excel web part.

Uncheck the box “Title Bar”

Save Web part, page and publish

You can now see excel is already loaded in the excel web part.

People who use SharePoint for business find it hard in the beginning to decide between working on a SharePoint Blog or a SharePoint Publishing site. While the two sound typically similar since they are both designed for the same purpose (blog creation and maintenance), they are not truly similar when it comes to features comparison. A more in-depth analysis of the two types offered in SharePoint is presented with feature comparison, so you’d be clear the next time you start a SharePoint blog.

So, a SharePoint blog is like an out-of-the-box ready thing that you can just tailor it according to your niche requirements (pretty much like pre-cooked pasta that you can quickly toss into your favorite sauce, if that makes sense). On the other hand, a SharePoint Publishing Site is a more structured authoring and publishing site that is typically used to create a sharing and communication portal amongst enterprises.

Here’s a quick take on features of a blog and those of a Publishing site.

SharePoint Blog Site

As mentioned earlier, a blog can get you started with minimum amount of effort. You can just add your content, for which the SharePoint blog was initiated in the first place. Blogs can be easily integrated with Microsoft Word which makes them easy to publish Live directly from Microsoft Word. You won’t even have to specifically include pictures and videos if there are any, the integrated system does that for you automatically. In addition to this, blogs have a commenting system built into them, so a blog is well-suited in the time when you plan to add comments and activity or discussions over your content. This becomes a drawback if you don’t wish to add a commenting system to your blog. Furthermore, there’s an option to add categories to your blog, so you can upload content for more than one type and that gets easier to navigate your blog. SharePoint also offers Views by categories feature.

SharePoint Publishing Site

A Publishing site is particularly useful if you need to generate content form a content hub. So, you can specify content types and have the control to manage the blog page fields. Using a Publishing Site, you can also create your own Page Layouts, design the page yourself and make changes of layout and fields whenever you wish. With this method, you can build everything yourself according to the company needs. So, with a Publishing Site, you are n more control of what is displayed and how is it displayed on-screen.

ALSO READ: SharePoint CMS new features for better collaborative environment

Final thoughts…

After the overview of both options, it can be concluded that if you want a more personalized approach, Sites must be your choice. Nevertheless, Blogs prove beneficial when you want to start quickly without much design-oriented hassle.

A rule of thumb: Good content, that makes you content, is only possible by good content management.

Microsoft SharePoint has always been successful in keeping its customers content with a promising Content management system. Giving a collaborative environment and offering users to make best use of a CMS which caters the state-of-the-art requirements in technology, cloud business and social sharing.

There are many features in Microsoft SharePoint that make it a great content management system to work with like Asset Library, which manages users’ media assets like audio and video content. Furthermore, there is a content organizer that sets content to autopilot with a set of routing rules that locate the relevant content to appropriate location in the library. In addition to this, a managed Meta data service allows you to specifically define formal and informal Meta data which come handy while using the next feature on the list: Metadata-driven navigation. Users are even facilitated with a feature of sharing content types amongst site collections

New Actions for SharePoint CMS in Flow

Enhancing user experience of SharePoint CMS, Microsoft has introduced two new document management actions for SharePoint in Flow. Using Microsoft Flow, the flow of document check-out is automated. Flow authors will now be able to check-out the document, make necessary edits and finally check-in the file to library. This is made available via SharePoint connector.

Activity Highlights

In the File Hover Card, the Activity Highlights feature is being provided for a better user experience to customers. With this, you can have a quick look at the usual activities in the documents that you are an author of.

Bulk Approval

Finally, many steps automated into a single step of approving pending documents. Now you can select multiple documents pending for selection and approve them in one go, an easier approach to automate tasks in your cloud business. You can also do the same if you wish to reject the documents. Daunting tasks, made simple.

We have moved past the phase when cloud was new and the decision about deploying SharePoint hybrid, Online or on-premise was important for early adopters. However, over the past few years, a major shift is observed towards SharePoint Hybrid. Yet, there are many businesses that adopted SharePoint on-premises as an early adoption and still have to come a long way before they can finally settle to SharePoint Online. As an early solution, SharePoint hybrid is the way to go for any cloud business. Today, we’ll cover how SharePoint hybrid is a win-win solution for business and how the latest Microsoft updates on SharePoint Online and SharePoint On-premises frameworks will impact SharePoint Hybrid.

Flexible SharePoint hybrid deployments

Since SharePoint 2016 was launched, the option of Hybrid became more widespread. Since there was no firm restriction to opt for SharePoint cloud or SharePoint Server, business can opt to approach SharePoint Cloud at their own pace based on various scenarios. The “Site and Search” deployment scenarios gained popularity where organizations can select the location of sites according to their convenience. Files like media assets that require more space can be hosted in Cloud, or files that contain sensitive information can be hosted in the server and it’s needless to shift them in the cloud until the organization is fully ready for it.

SharePoint Hybrid with Office 365

The harmony between SharePoint hybrid environment and other Microsoft technologies has proved to be a productive for cloud businesses. Microsoft service like Power BI, Office 365, Yammer, Planner, Exchange and many more are compatible with SharePoint Hybrid environments and provide all the functionality available in the cloud.

The Hybrid search experience

Hybrid search is one feature that makes SharePoint Hybrid a win-win for cloud business. With hybrid search, content from the Cloud environment and on-premises is readily available because it enables a unified search index.

More security and control

In a SharePoint hybrid environment, since you are more in control of your Cloud, things are more secure than you’d expect in a complete Cloud or complete on-premises environment. More certainly, you can’t expect to implement, while deploying SharePoint hybrid, the level of security Microsoft or other Tech giant implements in their Cloud and offers to its customers.

Hybrid auditing

This feature in SharePoint allows SharePoint Admins to push the audit logs of the company from On-Premises to the Office 365 Unified Audit Log. In this way, there is a single location from where you can view audit log that comes from both on-premises and SharePoint online. However, this feature is yet available in SharePoint Server 2016 and at the time of this writing, the audit log feature is in public preview for SharePoint Server 2019. Once the feature is releases for SharePoint 2019, you can experience the unified Audit log experience for SharePoint Server 2019 as well.

Hybrid Business Connectivity Services

In order to have a secured view of data from external systems, you can make use of the Hybrid Business Connectivity Services. Data can be imported as a SharePoint List in Office 365 from systems like SQL Server Database and users can edit and view the data remotely. No on-premises connection is required for the purpose of accessing data.

MachPanel Automation module for SharePoint Hybrid

MachPanel is a Multi-Cloud Operations Management and Orchestration Solutions Platform designed for easy automation and management of Microsoft services in cloud business. The automation module for SharePoint makes the selling of SharePoint services manageable as a hosted cloud solution. It makes CSPs in control of their cloud whether it is SharePoint Online for which they are opting for or SharePoint Server 2019, 2016 and 2013. By easy billing, provisioning and management through built-in multi-tenancy and segregation for Microsoft SharePoint 2019 and previous versions, CSPs stay ahead of the curve with their cloud offerings in their cloud business.

Taking all these SharePoint benefits into account, it is high time you go for MachPanel’s services for Microsoft SharePoint hybrid deployments and lead in the cloud business with reliability and better management.

SharePoint modern experience is the latest trend amongst SharePoint online and on-premises users nowadays. With this modern SharePoint experience, features such as Communication Sites and Hub sites have been released. With the introduction of these modern pages, a lot of gaps have been filled regarding publishing experiences that were needed from Microsoft SharePoint Online and on-premises.

This modern experience is based on SharePoint Framework which has brought in a lot of changes from the ‘classic’ platform. The major advancement has been in the basic structure where things are focused to be developed on client side rather the server side. In fact, from April 2019, Microsoft is restricting the possibility of running whole organization on classic mode for libraries and lists. However, lists that use features that are currently supported in the modern experience will be switched to classic, automatically.

However, SharePoint Modern Experience is flexible for now. If there are CSPs who can’t switch to the modern experience immediately, there many tools available to help them restrict users to classic experience like the SharePoint Modernization scanner.

1. SharePoint modernization scanner

With this tool, you can identify sites and lists having specific customizations that are not supported by the modern User interface. It is hence possible to identify the impact of the classic view and modern sites. CSPs wish to keep the currently running sites to classic view. Not all but a few of them for a better user experience, since the users wouldn’t have to switch amongst different modes of experience.

2. Disabling the modern experience is still possible

Apart from PowerShell scripts being used to enable and disable the SharePoint modern experience, there is always an option to “return to classic mode” on modern views of libraries and lists. Owners of Lists can configure a particular list to be run in classic mode for all of its users.

3. It wraps itself around O365

SharePoint modern experience and SharePoint Online integrates itself with Office 365 much easier. Moreover, updates from Microsoft Team sites can be integrated and hence SharePoint modern experience incorporates that all.

4. The modern pages

As mentioned above, there had been a need of an editor experience since many years, like a CMS. With modern pages under Modern SharePoint Experience, content editors are given more power to make use of this experience: publishing content with CMS similar to Word press. Less training is required for editors and the process is kept simple. In just 2 to three clicks, you are good to go!

5. The user experience in Modern SharePoint experience

Technically, the modern experience has got updates that mostly affect the administrators because more changes are provided at administrative settings. Not many changes have been introduced within the interface. Hence, this experience make it user friendly, since the users can still be provided the classic view where needed and they don’t have to switch back and forth between the two modes.

6. Modern and Classic Lists

With the SharePoint modern experience, there are many scenarios that have been modernized like the document sets. Apart from this, there are a few modern-only features introduced like the Microsoft Flow integration. Hence, it is obvious that Modernization is an on-going process. Generally, those features are upgraded earlier that have a higher impact or demand.

The popularity of SharePoint Online with Cloud Service Providers has made it the fastest growing Microsoft product in recent years. The key to its success is better application performance which makes it fruitful for deployments and adoptions. Let’s have a look at a few techniques that Cloud Service Providers can follow to improve the overall performance of SharePoint server.

Tips to Fine-Tune performance of SharePoint Online

Image Optimization

Images make the overall design appealing but their size can greatly affect page loading speed that can have a huge impact on site performance. The ideal way to use images on a SharePoint Site is to use sprites approach (an image Sprite is a technique of showing multiple images on your site that are actually a portion of one larger image, as it reduces HTTP traffic since you are downloading more images in one request). Further, it is necessary to use image compression and image optimization techniques before using them on your site.

Minification and Bundling

Customization a web-page results in a lot of extra files being added to the server for support. The process of minification minimizes the size of these fields by removing extra white spaces and unnecessary characters. This reduces overall size of files and hence improves performance of site by giving low overhead on the server. Images can be bundled in an image sprite, as mentioned earlier.

Navigation Options

Choosing configuration options for SharePoint site makes significant impacts of performances. Options like, Managed (Metadata) navigation is recommended whereas Structural navigation is not recommended for better performance. Navigation providers work seamlessly with responsive page designs. Plus, they are scalable and are able to render without a resource cost. Cloud Service Providers need to focus on navigation options for better site results.

Delay Loading Images and JavaScript

Modern browser pre-fetch the images to be loaded within the HTML page. Another technique to make SharePoint Online site load efficiently is to delay loading images using JavaScript. Images will be loaded as the user scrolls towards it.

Use the Page Diagnostics Tool

Publishing pages using classic publishing can be a overhead on the SharePoint site. It is best to use page diagnostic tools for that purpose. Install it to your site to make publishing efficient.

Using Content Delivery Networks

Content Delivery networks or CDNs can increase SharePoint Online Performance. CDN is a worldwide network of different servers that host the same file simultaneously. In this way, the server that is closest to the user requesting that file, can serve the file in less time as compared to the main server located far away. Cloud Service Providers must take this into account.
