Users have been using Basic Authentication while making connections with services, servers and endpoints for a long time. In this type of authentication method, the application simply sends user name and password with each request.  This has been a simple solution, which was good in old days but due to the rise in cyber-attacks methods, something more secure was needed to improve the user experience of Exchange Online.

The Recent changes

For Exchange Web Services, this Basic authentication method is going off from October 2020 for better Exchange Online security. To phase out old authentication methods, Microsoft is turning off Basic Authentication for Exchange ActiveSync (EAS), POP, IMAP and Remote PowerShell on the same date as well. However, SMTP Auth will continue to support Basic Authentication.

Modern Authentication

Modern Authentication is now based on OAuth 2.0 token based Auth that is not only reliable but also mitigates problems of current authentication methods. It incorporates Multi factor authentication for a better secure experience. In Modern Authentication method, OAuth Access tokens have a limited lifetime. These tokens are limited to applications and resources and can’t be reused. This increases Exchange Online Protection for its users.

Remote PowerShell should be switched with PowerShell within Azure Cloud Shell until more secure MFA module is provided for RPS. Quite recently the preview of Microsoft Exchange Server 2019 was released. This version is promised to deliver security, reliable performance and improved administration along with management capabilities. Generally, there is a pattern that new features are first introduced in Exchange Online and later in on-premises Exchange. For on-premises users, it is either used as an entirely new release, or introduced to them as cumulative updates. Here’s what to expect from the latest Exchange Server 2019 according to its public preview:

1. Windows Server 2012 R2 is the minimum requirement of an Operating system and Active Directory in order to use Exchange Server 2019. If the Exchange Server is released to manufacturing later in 2018, chances are that the minimum OS supported shall be set to Windows Server 2016
2. All those features that were deprecated in the last version of Exchange Server, i.e. Microsoft Exchange Server 2016, will be removed entirely in Microsoft Exchange Server 2019
3. Microsoft Exchange Server has been available for installation on Windows Server Core. It shall provide the most secure platform for Exchange. There is also an option to install Microsoft Exchange Server 2019 onto Windows Server 2016 or 2019 Desktop Experience.
4. Microsoft Exchange Server can run up to 48 processor cores and 256 GB of RAM. That is something very hard to achieve as yet, but the system has been developed so as to function with that properly.
5. Bing technology has been used to make search performance better. This has been re-engineered and the outcome is a whole lot better search. This has made administration easier and database failovers faster.
6. Exchange Online has been using Solid State Drives. It is an alternative to the currently used drives and it is much cost effective in comparison. They are being used in addition to spinning disks to make performance better. Key search data is being kept at the SSDs to make logins and other operations faster. SSDs are used intelligently in order to make overall user experience faster.
7. Calendaring has been included in Microsoft Exchange Server 2019 in improved form. A simplified Calendar sharing is important with features like Simplified Calendar Sharing from Microsoft Office 365 and also to On-Premises Exchange. This facilitates administrators to manage events directly on user’s calendars and in this way, delegate permissions are assigned more easily.

Before we jump directly on the solution, it will be vital to look at the background.

Working with Microsoft Exchange for a decade, specifically with multi-tenant Exchange deployments. I remember the days, when we use to segregate tenants via ACL approach, creating SG for a tenant, applying certain permissions on tenant AL, GAL, OAB and so on for segregation & Isolation. It was a nightmare, due to work load of support tickets because of all sort of misconfiguration, mistakes and on top of this very limited support by Microsoft itself because we were doing something critical to Exchange built-in nature.

Address Book Policy:

Later on with Exchange 2010 SP2, Microsoft came up with ABP (Address Book Policy) approach and wow it made our life easier, by migrating tenants from ACL based segregation to ABP based segregation. As it was from Microsoft so yes it was fully supported and we were confident that it will address all our segregation issues so that we could focus on the core business. But it proved us wrong and of course ABP made our horizon high to explore high level issues than we were focusing previously. It was a time when we found that tenants on a single Exchange platform while exchanging emails across, could see and explore that they are on a same Exchange hosting platform sharing same resources. They could see complete contact card of a sender, with their phone number, groups association and many more attributes that one would only want visible to their own GAL members.

With a passage of time, the concept of sender based routing agents came in picture, where using a combination of transport rules, smart host gateway and sender routing agent did a trick and make it possible to overcome this data loss issue, but again it was not out of the box, either you had to buy third part tool, with requirement of smart host and even then we have limitation like if we do CC.

ABP Routing Agent:

Finally in Exchange 2013 CU1 Microsoft come up with a ABP routing agent, which was really needed to take full advantage of ABP approach. In short ABP routing agent show / represent sender as an external contact if it is not associated with tenant ABP even residing on same exchange deployment but should be a member of another ABP.

In order to apply ABP routing Agent, follow below steps:

• You may face an issue of non-delivery report, for recipients with hide for address list checked.  Please deploy 2013 CU2 to overcome this issue.
